How-To: Switch Mailboxes from Registry to the Extended DB

Vircom has produced a tool called SyncUserRegDB that takes Generic or Registry mailboxes and exports all of the settings to the Extended Database.  Before using this tool, there are a few steps that must be followed to ensure that you have the database in place and have the ability to roll back, if required.


This tool can be used under the following conditions:


  • You are using ModusMail or a ModusGate Blockade on version 4.0.340 or higher


  • You have not yet created the User database (VOPMAIL)


  • You users are currently Generic or Registry users




Proceed with the following steps:


  • Backup your Modus configuration


    • In the Console, click on File > Backup configuration
    • Name the file (*.reg) and select a location to save it


    • Alternately, from a Command Prompt, change directory to the root folder for Modus (…\Vircom\Modus<Mail or Gate>)
    • Type mailconfigbackup reg.txt <enter> to create the reg.txt backup configuration file
      • The mailconfigbackup utility does not backup email messages or any Trusted or Blocked Sender addresses (stored in the database).  It only backs up the configuration of the program settings and user mailbox settings. 



    • Note: Consider automating this backup process using batch files called from the Windows scheduler.  Should the Modus server crash, rebuilding your configuration can be done much faster using the most recent backup file.




  • Create the Extended DB (VOPMAIL Table) in SQL Server


    • Save the file attached to this article and extract its contents (SQL script)
    • In SQL Server, go to Enterprise Manager
    • Create a new database (e.g. ModusUsers)
    • Open the new database and select the tables tree
    • Click on Tools > Query Analyzer (the new database should be selected)
    • Copy the SQL script (from the zip file) into the Query Analyzer panel and run it
    • NOTE: You may get a Cannot drop VOPMAIL message which is normal
    • You should access this DB with an “SA” SQL login ID.  Create a new one, if necessary.



  • Configure ModusMail to Connect to the Extended DB


    • Create the System DSN in Modus:
      • Go to Administrative Tools > Data Sources (ODBC)
      • Create a System DSN pointing to the SQL server
      • Select SQL authentication, enter the "SA" login ID and password
      • Click on Client Configuration and ensure that TCP/IP is selected in the Network Libraries list (do not use Named Pipes)
      • Continue the configuration, select the ModusUsers database and test the connection
      • Exit the ODBC Data Sources Administrator


WARNING: The following step ensures that you do not lose any mailboxes or their contents:


      • In the Console, go to Auth – Properties – ODBC Database and ensure that Automatically delete not found mailboxes is not enabled
      • Go to System – Properties – Settings and ensure that Remove mailbox directory on user deletion is not enabled



    • Point Modus to the database:
      • In the Console, go to Auth – Properties – ODBC Database
      • Enter the System DSN Name (from above), the username (e.g. “SA”) and the password
      • Select Use Extended Database Format and click on Apply
      • Stop and start all services in Modus


    • Verify that the domains are set for database authentication:
      • Enter each domain's properties in ModusMail and go to Auth – Properties – ODBC Database for each
      • Ensure that DB authentication is checked under the Use for this domain column.  Iit should be enabled by default as soon as the program detects the ODBC connection (from the step above).  If it is not checked, close and reopen the Console to refresh the view. 



  • Run the SyncUserRegDB utility:


    • Download and extract the SyncUserRegDB utility attached to this article
    • Double-click on the file to open the console window (see screenshot below)
    • Check the option Convert existing registry mailboxes
    • Uncheck the option Synchronize existing database mailboxes
    • Click on Synchronize

For the destination, you can use ODBC or SQL Server.  Using the SQL Server is a better option because it is quicker and returns correct errors.


Once the conversion is terminated, you will have the option to see the logs and any errors encountered.


This program will insert or update the mailbox settings in the extended DB, change the type of the mailbox to database in the Modus console and, finally, remove all of the registry values that have been imported to the database.


This utility does not rename or copy mailboxes nor affect aliases and the mailbox directory.



In the event that something goes wrong, restore your Modus configuration. 


  • In the Console, click on File > Restore configuration
  • Click on OK to the overwrite warning
  • Select the file name and click on Open


  • Alternately, from a Command Prompt, change directory to the root folder for Modus (…\Vircom\Modus<Mail or Gate>)
  • Copy the reg.txt file to this directory
  • Type mailconfigbackup -restore reg.txt <enter> to restore the configuration
